Vendor Manager Analyst
About this role
Vendor Manager Analyst Mindbox Sp. z o.o. Daily tasks: - Managing the IT spend approval process for several CTO functions; coordinating and delivering vendor management analysis to support weekly spend request approval meetings with Heads of Functions - Ensuring available budgets are in place (Run, Change, Transformation) and guiding requestors through the submission process, including correct representation of Headwinds for future years - Understanding vendor and contractual spend; validating savings (Sustainable, One-Time, Cost Avoidance) - Supporting Senior Vendor Managers with day-to-day vendor lifecycle activities: data gathering, benchmarking inputs, meeting minutes/actions, and decision logs - Maintaining portfolio trackers and reporting (renewal pipeline, RAID, actions, decision points, approvals status), ensuring data quality and timely updates - Supporting contract and commercial reviews by extracting key terms (SLAs, pricing constructs, renewal clauses, obligations) and highlighting gaps, risks, and remediation actions - Partnering with Operations Management and Finance to support cost optimisation initiatives: baseline spend analysis, opportunity identification, delivery tracking, and benefits realisation - Contributing to a high-performance team culture through close collaboration and collective responsibility Musts: Analytical skills, Stakeholder management, Excel, PowerPoint 3–5+ years of experience in vendor management, commercial management, procurement support, technology operations, or a related role – ideally within financial services or a regulated environment Strong analytical skills: ability to structure ambiguous problems, synthesise information, and produce clear, decision-ready outputs Good understanding of technology vendor landscapes and common commercial/contract constructs (SLAs, licensing models, renewals, consumption metrics) Experience supporting business case development, initiative tracking, and benefits realisation Strong stakeholder management and communication skills – confident working across functions and with senior stakeholders Strong attention to detail and governance discipline: tracking, documentation, auditability, timely follow-through Financial and commercial awareness: cost drivers, budgeting concepts, value-for-money considerations Proficiency in data and reporting tools: Excel, PowerPoint, portfolio dashboards/MI tools Nice to have: Experience in IT spend approval processes and budget management (Run/Change/Transformation) Familiarity with Headwinds planning and multi-year cost forecasting Background in technology procurement or contract management in a global organisation Joining this project you’ll become part of Mindbox – a tech-driven company where consulting, engineering, and talent meet to build meaningful digital solutions.

Your contribution will help deliver high-impact solutions in technology operations – vendor lifecycle governance and commercial management at enterprise scale. You'll step in as a Vendor Management Analyst , working closely with Senior Vendor Managers, Operations Management, Finance, and senior stakeholders across multiple CTO functions to manage the IT vendor portfolio throughout its full lifecycle – from selection to renewal or exit.
