Administrative Assistant
About this role
In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level in the Federal service or equivalent experience in the private or public sector. SPECIALIZED EXPERIENCE is defined as: GG-9 Experience providing foundational administrative support, including managing calendars and meetings, formatting correspondence, routing controlled actions, maintaining office records, supporting front-office inquiries, preparing travel, applying security protocols with guidance, and suggesting basic workflow improvements.
GG-10 Experience independently managing complex schedules and high-visibility meetings; preparing, editing, and finalizing correspondence and controlled documents; reviewing materials for coordination and accuracy; standardizing administrative practices across offices; training staff; liaising with senior stakeholders; coordinating domestic and international travel; handling sensitive information under policy; and improving administrative processes.
GG-11 Experience providing executive-level support, independently managing strategic schedules and engagements; producing high-level briefings and decision materials; reviewing sensitive/pre-decisional content for alignment; overseeing agency-wide administrative workflows; serving as primary point of contact for executive stakeholders; leading domestic/international travel planning with clearances and briefing materials; handling classified/controlled information with expert judgment; and identifying systemic improvements across administrative operations To qualify for this position, you must have at least one year of specialized experience at the next lower grade level (GG-08 for consideration at the GG-09 level, GG-09 for consideration at the GG-10 level, and GG-10 for consideration at the GG-11 level), or equivalent experience in the private or public sector.
The ideal candidate will be able to demonstrate the following: 1. Demonstrated skill with computer-based applications, including Office365, ADAMS, E-Concurrence, Microsoft Edge, Google Chrome, and other database applications (i.e. maintaining automated tracking systems.) 2. Demonstrated ability to provide administrative support in a variety of areas (time and attendance reporting, travel, etc.). 3. Writes in a clear, concise, and organized manner.
Knowledge of proper grammar, spelling, and punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness. 4. Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines. 5. Demonstrated ability to deal tactfully, efficiently and professionally with all levels of personnel, and to work collaboratively within a team.
